Policy Management
From authoring to e-signature
Publish policies, standards and procedures in English and Arabic, assign them to employees and groups, and enforce acknowledgment with a recorded e-signature. Every new version asks people to sign again.
The policy lifecycle in five steps
Author
English and Arabic content: rich text, PDF or image
Publish a version
Every edit is saved as a full version with a change note
Assign
To individuals, groups or all recipients in one action
Acknowledge and sign
One-click acknowledgment or a recorded e-signature
Track
Acknowledgment progress per policy and per group, with reminders
Versioning
Always know what was published, when, and why it changed.
A full snapshot on every edit
Every create or edit saves a complete snapshot of the name, description, body and file in both languages, with a required change note.
Exactly one current version
Only one version per policy is ever marked current, and that is enforced at the database level.
Full version history
Browse the version history of each policy and view any past version exactly as it was published.
Assignment
The right policy to the right people, in one action.
Individuals, groups or everyone
Assign a policy to individual users, whole groups or all recipients in one action.
Two ways to assign
Pick policies from the assignment screen, or assign a single policy straight from its own page.
Assignee list
A list of assignees for each policy, with per-user unassign.
Progress per group
Acknowledgment progress at group level, not just one overall percentage.
Real enforcement, not just reminders
A mandatory policy can't be skipped, and an update never counts as acknowledged without a new signature.
Mandatory policies gate the platform
Any user with an outstanding mandatory policy is redirected to its acknowledgment page before they can use the platform, including the home page and courses.
Re-sign on republish
If a policy's current version changes after a user has signed, the platform compares the version they signed against the current one and flags them as needing to re-sign, so updates don't silently count as still acknowledged.
Acknowledgment and e-signature
Two acknowledgment paths depending on how much the policy matters, with recorded proof for every signature.
One-click acknowledgment
A simple "I acknowledge" flow for policies that don't need a signature.
A real e-signature
For policies that require one: a drawn signature, a typed name or initials, recorded with the IP address and browser. One signature per user per policy.
Signed PDF receipt
The original policy PDF, or a generated page if the policy wasn't a PDF, is stamped with the signature, signer name, timestamp, IP and signing method, plus an "Electronically Signed / موقَّع إلكترونياً" footer.
Signatures list
An admin view of each policy's signatures: signer name, email, method, timestamp and IP.
Gamification points
Acknowledging a policy awards the employee points in the platform's gamification system.
Notifications and reminders
An email on every assignment
An assignment email goes out with every assign action, whether individual, group or bulk.
Reminders for anyone outstanding
Send a manual reminder to each user who hasn't acknowledged yet, using a dedicated reminder email template with escalation CC tracking.
